Job Description
As a Back Office Assistant, you will be responsible for performing administrative and support tasks to support the efficient operation of the organization. You will collaborate with other teams and departments to ensure that daily operations run smoothly.
Responsibilities
- Administrative support: process incoming and outgoing documents, such as invoices, contracts, and correspondence.
- Data management: maintaining and updating databases and systems with accurate information.
- Customer support: answering customer questions and providing support for problems, often by phone or email.
- Collaborate with other departments: work with other departments, such as service desk and management, to streamline workflow and ensure that customer requests are handled in a timely manner and, if necessary, suggest ways to improve processes.
- Reporting: preparing reports and statistics based on data analysis for management.
- Inventory management: assist in managing inventory levels, placing orders and ensuring adequate inventory levels.
- Procedures and policies: adhere to company procedures and policies to ensure security and compliance. This includes working to ISO standards 27001 and 9001.
Qualifications and requirements
- Customer- and service-oriented, proactive, and goal-oriented.
- At least a high school diploma.
- Experience in administrative or back-office roles and knowledge of ISO standards is a plus.
- Excellent communication skills, both verbal and written.
- Proficiency in using office software, such as Microsoft Office.
- Organizational skills and attention to detail.
- Ability to work independently and prioritize tasks.
